This system is designed to ensure the safe, complete and effective management of collections.

1. Complete the formalities

Purpose: Collections should be approved, limited to research, education and display purposes.

2. Application procedure: The applicant should submit an application to the custodial department in advance and fill out the “Application Form” and indicate the purpose, time, use and other information.

3. Terms of Use: Only approved staff, experts and researchers can use the collection.

4. Drawing criteria: Based on the preciousness of the collection, historical value, scientific value and artistic value, set up drawing standards to limit the amount and use.

5.Protective measures: Take corresponding protective measures for the precious collection memorial, such as moisture protection, insect protection, sun protection, etc., to ensure its safety and non-destructive.

6.Responsibilities: The collector shall keep the collection properly and ensure that it is not damaged or lost. In case of damage or loss, report immediately and identify the cause and compensate accordingly.

Complete access to the library.

1. Record management: Set up the Collection Access Records Table, which records the withdrawal time, users, uses and restitution time, and is managed by the custodian department.

2.Approval Process: Establish a system of collection and approval process to clarify the approval personnel at all levels, ensure normalization and efficiency.

3. Handling: For violations of this system, such as unauthorized use or damage to the collection, will be treated as a matter of circumstances, including but not limited to warnings, fines, disqualification.

Corrective Precautions: Set up appropriate corrective precautions for possible violations, such as strengthening awareness education and regular inspection of collection management.

In order to better protect the collection, supplemental protection facilities and technical means can be adopted.
